This policy is designed to help you understand what you can and cannott claim for as a Datamatics UK employee. Employees can only be paid expenses once they have accepted/signed their employment agreements and expenses policy and if they have an intention to complete multiple assignments for the Company.
The first part of this guide explains the conditions set by HMRC that define when you can and can’t claim expenses against tax. It is very important you understand all of these conditions; failure to meet these conditions will result in you being separately assessed and liable for the tax on taxable benefits you have claimed. Please make sure you read them carefully.
The second part of this guide provides a summary of the different types of tax-deductible expenses and the rules around the circumstances in which they can be claimed.
a. All receipts are manually validated as a genuine receipt.
b. The Company only accepts original or scanned receipts, not credit card receipts.
c. The Company only allows expenses to be claimed for periods covered by actual assignments.
d. The Company does not allow expenses to be claimed for future periods (even if covered by an assignment).
e. The Company has a system to ensure that expense claims cannot be duplicated (e.g. by the submission of an original receipt and a scanned or credit card receipt for the same expense). Please note that breach of expenses claim rules may result in disciplinary action.
